Employees

Employees is the register that Payroll and Time & Attendance both work from. You keep each person's role, salary, identifiers and hire date in one record, and filter the list by department, location, position or employment type. With Time & Attendance switched on, the same form also holds how and where each person clocks in.

Employees

What it does.

  • One record per person

    Keep name, role, email, salary (annual or monthly), employee number, hire date and an optional leave balance together.

  • IBAN for salary payments

    Enter the IBAN each person's salary is paid into. Flow warns you when it does not look right or is your own company IBAN, and the SEPA salary file uses it.

  • Tax and social insurance IDs

    Store each person's tax ID (TIC) and Social Insurance number. They show as tags on the list and feed the payroll return files.

  • Missing IDs flagged

    A banner tells you how many employees are missing a TIC or SI number, so you can fix them before filing.

  • Search and filters

    Search by name, email, position or number, and filter by department, location, employment type and position. Former staff can be shown on their own.

  • Employee information sheet

    Open one person's sheet to see their details, working times, where they clock in, leave taken and hours worked over recent months, and save it as a PDF.

  • Your company lists

    Set up departments, positions, employment types (with default hours and working days) and leave types once, then pick them on every record.

  • Clocking details in the same form

    With Time & Attendance on, set the photo, department, position, employment type, hourly rate, allowed locations, phone and kiosk PIN on the same record.

  • Kiosk PINs checked for clashes

    Kiosk PINs are 4 to 8 digits, stored as a hash, and a PIN already used by someone else is refused.

  • Pay elements per person

    Add annual pay elements such as allowances, overtime or a 13th salary to an employee.

  • Photos optional

    Staff photos appear on the register and the kiosk, and you can switch photos off for the whole company.
