Expenses

Enter an expense with its amount including VAT and Flow works out the input VAT. Each expense records the supplier, category, how you paid and which account it came from. The totals for the month, quarter or year show what you spent and the VAT you can reclaim.

Expenses

What it does.

  • Spent and reclaimable VAT

    The top card shows what you spent and the input VAT you can reclaim, for this month, quarter, year or all time.

  • VAT worked out for you

    Type the amount including VAT and the rate, and Flow shows the input VAT.

  • VAT treatment

    Choose standard, zero-rated, exempt, EU reverse charge for services, EU acquisition of goods, or out of scope. For reverse charge, Flow self-assesses the VAT at the rate you set, in the Full Detail view.

  • Which account paid

    Pick the account the money came from, such as the bank, a company card, petty cash or a person's own account.

  • Expense accounts

    Keep a list of the accounts you pay from, each with a kind (cash, card, bank, personal or other) and whose account it is.

  • Category, supplier and method

    Record a category, the supplier or payee, and whether you paid by cash, card, transfer or another way.

  • Unpaid supplier bills

    Mark a supplier bill as on account and it shows an On account badge until you pay it.

  • Other currencies

    Enter an expense in another currency with its exchange rate.

  • Receipt photo

    Attach a photo of the receipt to the expense.

  • Recurring expenses

    Set an expense to repeat weekly, monthly, quarterly or yearly. Due copies are added when you open Expenses.

  • Comments

    Keep comments on a saved expense.

  • Into your books

    With the Accounting add-on set up, each expense is posted to your ledger, and you can tag it to a cost centre or project.
