Equipment

You keep each asset against the client who owns it, with its plate or serial number and how often it needs a service. The list puts overdue equipment first, then whatever is due in the next 30 days. When you log a service, the next due date moves on by itself, and you can bill the work to an invoice.

What it does.

  • Equipment register per client

    Record each vehicle, machine or tool with its client, a name, a type (vehicle, machinery, tool or other) and your own identifier, such as a plate, serial or asset tag.

  • Your own custom fields

    Add any fields you need to an asset, for example engine hours, warranty or location.

  • Photos and notes

    Attach photos and a note to each piece of equipment.

  • Service interval in months

    Set how often each asset needs a service (12 months by default) and its last service date. Flow works out the next due date and shows it as you type.

  • Most urgent first

    The list is sorted with the most overdue first, and each card shows Overdue, Due in or Next in with the number of days. The header counts how many are due within 30 days.

  • Search by name, ID or client

    Find an asset by its name, its identifier or the client's name.

  • Service history per asset

    Every logged service is kept on the asset with its date, the jobs done, the cost and the technician.

  • Labour and parts with VAT

    Log a service with priced labour and parts lines and a VAT rate, and see the total including VAT.

  • Next due date moves on

    Logging a service updates the asset's last service date and next due date. A back-dated entry does not reset the schedule.

  • Bill a service in one tap

    Turn a logged service's labour and parts into a tax invoice for the client. The service is then marked Billed with the invoice number, so it cannot be billed twice.
